couldn't we all just be a little bit 00:00
more productive whether you feel like 00:02
you've got a pretty good grasp on your 00:04
days or your life's a complete mess most 00:06
of us could probably use a little 00:08
sharpening up when it comes to mastering 00:10
productivity at the turn of the 00:12
Industrial Revolution productivity meant 00:13
squeezing as much economic growth out of 00:15
his few resources as possible from 00:17
agriculture to fashion to masonry and 00:20
journalism industries found ways to 00:22
incorporate new technologies machinery 00:24
and systems to increase profits and 00:26
succeed in business it was about doing 00:29
more with less 00:31
and while the tools and systems have 00:32
changed since the invention of the 00:34
cotton gin in 1794 the basic concept 00:35
still applies but today as millions of 00:38
people are turning towards a freelance 00:41
career increased productivity doesn't 00:42
just mean more profits for your employer 00:44
it could be more downtime with family 00:46
leisure activities and time spent on 00:49
passion projects the fuel productive is 00:51
a beautiful thing it's what you might 00:53
call a good tired the moment when you 00:55
slide back from your desk at the end of 00:57
the day turn down your computer put down 00:59
your pen knowing that you gave 01:01
everything you had to that day you got 01:03
[ __ ] done what I say is I focus on 01:05
helping people become more capable 01:07
that's Thomas Frank you might know him 01:09
from his popular YouTube channel or 01:11
podcast and that encompasses 01:13
productivity content whether it be like 01:15
getting down and dirty with the systems 01:17
or talking more holistically about 01:18
things like habits of mindset basically 01:20
anything that kind of sets you up for 01:22
being able to better achieve your goals 01:24
in life what does it take to be truly 01:25
productive today from the small things 01:28
we do to the larger systems we create 01:30
how can we make the most of our days and 01:32
what won't productivity get you how can 01:34
we find fulfilment in our work without 01:37
turning into automated robots at in a 01:39
moment but first this video is sponsored 01:42
by Squarespace every website I've built 01:43
in the past five years has been with 01:45
Squarespace I'll talk more about why I 01:47
love them at the end of this video and 01:48
how I'm able to create simple and 01:50
effective websites really fast is there 01:52
like a tool or a hack or something that 01:58
you do when it comes to productivity 02:00
that has helped you the most or that's 02:01
the most memorable for you yeah it's 02:03
probably downloading information 02:05
be a little port in the back of my head 02:07
did you get that at Staples yes yes 02:09
staples experimental matrix yeah it's 02:11
really good yeah so the biggest thing 02:13
for me I think is not letting me be the 02:20
deciding factor and what I get done 02:23
because I think the more freedom you 02:24
have the more self-discipline you 02:27
require to actually take yourself off of 02:29
the path of least resistance and even if 02:31
you care a lot about the overall mission 02:34
you might not always care about the 02:35
individual piece that you are working on 02:37
so sometimes it'll be hey you know keep 02:39
me accountable I'll say as my girlfriend 02:41
or to my best friend like I'm gonna get 02:43
this done by this date so at the IKEA 02:45
cabinet planner for research you're 02:47
disgusting or I'll use a tool like 02:49
beeminder which will literally charging 02:52
money if you don't blog habits or if you 02:54
do log habits depending on how you set 02:56
it up or you know even have it acai just 02:58
check-in my habits every single day so I 03:00
get that little streak to encounter 03:01
going up I use external systems to put 03:03
training wheels on the teeter peterey 03:06
bike that is my mind yeah we love we 03:08
love talking about these like kind of 03:10
the little things that we do like the 03:11
little tactics that might help us or 03:13
give us a little bit of an advantage but 03:15
I know that recently you just created a 03:18
course around how to develop 03:19
productivity systems yeah and that to me 03:21
is really interesting because that's 03:23
just this the entire system it's the 03:25
bird's eye view of how things are made 03:27
in your life talk me through some of the 03:30
most important aspects of it from maybe 03:32
a to-do list or a task list to the 03:35
calendar so overall philosophy here what 03:37
I consider the main missions of a 03:40
productivity system to be our number one 03:42
to make sure nothing ever slipped 03:44
through the cracks to sort of give you 03:46
that peace of mind you know everything 03:47
going on your life you know cuz people 03:49
when they when they feel like everything 03:51
is chaos then that brings a lot of 03:53
stress like am I am I forgetting 03:55
something right now can I relax right 03:57
now or is there something that I should 03:59
be doing if you know everything's going 04:00
on then you have more control 04:02
and then the other part of it is 04:04
bringing in a little bit of that 04:06
external control over your own 04:08
self-discipline so for me the components 04:11
are a to-do list a calendar and then a 04:14
note-taking system of some sort and 04:18
there's a few meta ones so I often bring 04:20
in the way that you process email into 04:22
this and they also bring in the way that 04:24
you store your files both digitally and 04:25
physically what I usually say is like a 04:28
good starting point is I really like to 04:30
do it and I know you use to do which is 04:32
possibly even simpler I like to do this 04:35
because again it's simple you can sort 04:38
of divide your life up into different 04:40
little buckets so I can have a project 04:41
for say every class on the mat if I'm a 04:43
student where I could have a project for 04:45
grocery shopping I could have a project 04:47
for like this UX design I'm working on 04:49
and that can all be separate and I can 04:51
sort of plan things out step by step 04:53
within a little individualized list but 04:54
then you can also have a day like today 04:57
next seven days maybe even next Tullius 04:59
list so you can see at a glance 05:01
everything in your life that's coming up 05:03
same thing with calendar you see what's 05:05
coming up in your life and for me the 05:06
split is are you going to it are you 05:08
doing at a specific time well then 05:10
that's a calendar event is it just do at 05:12
a specific time but you could work on it 05:14
whenever that's a to-do list or a task 05:15
manager so if somebody feels like right 05:17
now their life is completely 05:20
disorganized and their productivity 05:22
system is basically non-existent what 05:24
steps should they take to go about doing 05:28
it like what's the most important like 05:29
set up a to-do list calendar I mean it's 05:31
are there any of these that are the most 05:34
important to follow along with or does 05:37
the whole system need to be intact I 05:40
would never go as far as to say you need 05:42
to get the entire system up and running 05:44
right now because that's overwhelming 05:45
where is the biggest source of your 05:47
stress coming from right now is it the 05:49
fact that I really just don't know all 05:51
that I have to do is the fact that I 05:53
keep missing events is it the fact that 05:55
I do not know where my files are and I 05:57
keep like losing important documents I 05:59
keep you know not being able to turn 06:02
homework in because I can't find it 06:03
what's the thing that's sort of like 06:05
screaming out this needs to be fixed 06:06
right now focus in on that and then just 06:09
work on building that part of the system 06:11
first like make a little bastion of 06:13
safety and then sort of spread out from 06:15
there 06:17
and I good 06:17
start is just bring up a document or 06:18
grab a piece of paper and just write out 06:20
everything that is stressing you out in 06:22
our quest to increase productivity there 06:25
are things that will inevitably get in 06:27
our way 06:28
and steer us off-track from social media 06:29
to video games there are an endless 06:31
amount of things that compete with our 06:33
attention and beg us to procrastinate we 06:35
each pick our own poison when it comes 06:38
to distractions but one aspect of 06:39
digital work that's impossible for most 06:41
people to ignore is email email is a 06:43
source of stress because there are 06:46
obligations I mean it's an evil Hydra 06:48
you cut off one head to take its place 06:50
yeah the one thing I tell people is if 06:52
you're sitting with a inbox full of like 06:54
4,000 messages that's the same as an 06:56
inbox with zero messages in it because 06:58
you're going to look at it get 07:00
overwhelmed and close it right so you 07:02
know take an hour go through the first 07:04
like four or five pages and star what 07:06
you know you need to reply therefore 07:08
you're creating like a little second 07:10
inbox for yourself and then everything 07:11
else just our guide it yeah my friend 07:12
Josh Milburn he recently went on 07:14
vacation and said hey guys during 07:15
vacation I'm gonna be going away but 07:17
then when I come back I'm gonna declare 07:20
email bankruptcy and then or kyv all of 07:21
my emails and I was like that's 07:25
brilliant I never thought to do that but 07:26
if you think about it when you come back 07:28
from a vacation you have hundreds of 07:29
emails or I mean depending on like how 07:31
busy you are or what kind of work that 07:33
you do if you have even 50 emails to 07:34
respond to that could be an entire day 07:37
the first day that you get back to work 07:39
and if you set the precedent beforehand 07:40
if you let people know hey this is 07:44
what's gonna happen if it's important 07:45
enough they'll email you back after you 07:47
get back yeah well I think another thing 07:48
people have to realize is like people 07:50
thrive on their expectations and their 07:52
expectations are set by previous 07:54
behavior so if you're the kind of person 07:55
who everyone knows for applies to an 07:57
email like within a day then now that 08:00
pressure is on you people expect a you 08:02
know snappy response from you and when 08:04
they don't get it you violated their 08:06
expectations and I think about the Salah 08:08
the violation of expectations is 08:10
probably the thing that makes people 08:13
angry in the world because it is taking 08:15
them out of order and throwing them into 08:18
chaos in some way you know it's a threat 08:20
to the way they live so if you can 08:22
manage expectations by maybe being the 08:24
person who just doesn't reply to every 08:26
email and you don't reply super super 08:28
quickly then no one cares 08:30
and that's a load off your plate 08:32
mentally once we've built a solid 08:33
productivity system implemented all the 08:35
various ways we can incentivize 08:37
ourselves to work ignore distractions 08:39
and tame the Beast of email we still 08:41
need to understand that there's a limit 08:44
to what we can do when we constantly 08:45
seek to produce more work to create more 08:48
profit it's easy to end up with less and 08:50
less time sure our hours are productive 08:52
but are we truly making enough time for 08:55
ourselves and for our families paying 08:57
the bills is great but is our life 09:00
defined solely by work or are we finding 09:01
the right balance for our physical and 09:04
mental health 09:06
we were talking recently about some 09:06
burnout that you faced it's it's kind of 09:09
the other side of productivity where 09:12
it's like you can only be so productive 09:13
you can only get so much work done yeah 09:15
when do you know when to start taking 09:18
some things off your plate I pushed 09:20
myself past the burnout point for too 09:23
long and when I really knew that it was 09:25
an issue was when my girlfriend said I 09:28
don't like how negatively you're talking 09:30
about your work every time you say you 09:32
want to make a video and it's more like 09:35
I've to make a video you're doing too 09:36
much and I realized oh yeah if I'm 09:38
projecting a negative sentiment about my 09:41
mission in life essentially to the 09:44
person I love the most 09:46
that's clearly a sign of burnout so 09:47
that's when I had to take it very 09:50
seriously a lot of times I think we get 09:51
into this habit of thing saying if I 09:53
make this decision that's forever 09:56
that's my content forever it's you know 09:57
if I if I switch to one video this month 10:00
and take a couple weeks off then 10:02
everything's gonna fall apart 10:04
and the other thing is once you hit upon 10:05
something that works it often seems like 10:08
that's the only thing you can do forever 10:10
and if you stop doing that you're dead 10:11
you're gonna be in the gutter and your 10:13
whole life will crumble around you and 10:16
everyone will point and laugh and it's 10:17
funny like if you give yourself just a 10:19
little bit of space what I found is the 10:21
creativity starts to come back all these 10:23
things start flooding in once you give 10:25
yourself space to breathe should we 10:27
shake hands I think so oh thank you it's 10:28
a lot of fun that much for doing it 10:31
absolutely cool all right we can just 10:33
get up and walk off the frame 10:35
cool music plays yeah you know how it 10:37
works as you guys know I like to keep 10:40
things simple and I do not like wasting 10:45
my time so that's why I use Squarespace 10:47
have you Squarespace to build every 10:50
website I've created over the past five 10:52

myself past the burnout point for too
long and when I really knew that it was
an issue was when my girlfriend said I
don't like how negatively you're talking
about your work every time you say you
want to make a video and it's more like
I've to make a video you're doing too
much and I realized oh yeah if I'm
projecting a negative sentiment about my
mission in life essentially to the
person I love the most
that's clearly a sign of burnout so
that's when I had to take it very
seriously a lot of times I think we get
into this habit of thing saying if I
make this decision that's forever
that's my content forever it's you know
if I if I switch to one video this month
and take a couple weeks off then
everything's gonna fall apart
and the other thing is once you hit upon
something that works it often seems like
that's the only thing you can do forever
and if you stop doing that you're dead
you're gonna be in the gutter and your
whole life will crumble around you and
everyone will point and laugh and it's
funny like if you give yourself just a
little bit of space what I found is the
creativity starts to come back all these
things start flooding in once you give
yourself space to breathe should we
shake hands I think so oh thank you it's
a lot of fun that much for doing it
absolutely cool all right we can just
get up and walk off the frame
